As a new year begins, it’s the perfect time for organizations to re-evaluate their document management structure. Not all document management solutions are created equal, and it’s important to ensure that the solutions your customers are utilizing are well-suited for their organization’s size and needs. BLI recently published reports for three solutions, each of which is targeted at a different user base: the individual or department, a small- to mid-size company, and a larger organization.
Nuance PaperPort Professional 14 is a desktop document management solution designed for use by individual workers or smaller companies to help organize and control hard-copy and digital documents. PaperPort Professional streamlines workflow processes, allowing users to capture, manage, search, retrieve, annotate and share documents electronically. In addition to providing quality scanning options – including PDF conversion utilizing Nuance’s class-leading OmniPage OCR engine – PaperPort also integrates directly with numerous other desktop software like Adobe Photoshop, Microsoft Word and more for quick editing. Most importantly for mobile workers, PaperPort Professional includes access to its own proprietary cloud storage site, PaperPort Anywhere, and can be synced with a number of popular cloud services such as Dropbox, Evernote and box.net for convenient document sharing.
Mid-range and growing organizations may opt for a modular solution such as docSTAR 3.twelve. Modularity means organizations can add components to coincide with growth, and the modules – sold individually or bundled – support all typical needs, including template-based scanning, OCR, barcode recognition, archival and retrieval, and distribution of documents. docSTAR is easy to use, with a well-designed interface that lets users quickly search for, retrieve, annotate, index, and distribute files, plus create custom workflows.
Larger, more document-intensive scanning environments may be better suited to a data capture and indexing solution like Drivve | Image 4.3, which helps users transform paper documents into indexed electronic information for easy management, storage and retrieval. Unlike PaperPort Professional, Drivve | Image features control panel integration for a good range of MFP hardware to allow users to scan documents with a full complement of features, including automatic indexing, barcode recognition and OCR. In addition to its excellent ease of use and helpful administrative features, Drivve | Image provides a very good feature set that includes task scheduling (hot folders), batch processing, page separation, blank-page removal and Bates stamping, as well as direct linkage to Microsoft SharePoint and the company’s Drivve | DM platform for document sharing.
